Custom Case Requests

Vial Case offers professionally engineered, custom-designed vial, peptide, and syringe cases for customers and businesses with specific requirements. Please review this policy carefully before submitting a request.

Custom case design is a paid professional service. Requests that do not meet the requirements outlined below will not be reviewed or responded to.


1. What a Custom Case Includes

A custom case request involves professional design and engineering work, which may include:

  • Review of your requirements and intended use

  • Custom internal layout design (not a modification of an existing layout)

  • CAD modeling in Fusion 360

  • Fit, clearance, and tolerance analysis

  • Digital design images/renderings for review and approval

  • Production of one (1) finished custom case, only if explicitly included in the approved quote

Important:

  • Digital CAD files are not included. Customers receive images/renderings only, not editable CAD files.

  • The design fee covers design and engineering work only and does NOT include case production unless explicitly stated in writing.


2. Customer Measurement Responsibility (Required)

Customers are fully responsible for providing accurate and complete measurements for all items to be stored in the case.

To ensure accuracy, clear photos of measurement tools (e.g., calipers or rulers) showing the dimensions are required. Measurements submitted without verification photos may be rejected.

Measurement Options

Customer-Provided Measurements

  • Must include verified dimensions and measurement photos

  • Vial Case is not responsible for fit issues resulting from inaccurate or incomplete measurements

Vial Case Measurement Service (Optional)

  • Customers may ship physical items to Vial Case for measurement

  • This service is billed separately and quoted in advance

  • Customer is responsible for shipping items to and from Vial Case

Failure to provide accurate measurements may result in improper fit, and design fees are non-refundable.


3. Information Required to Submit a Request

To be considered, you must provide complete and accurate information, including:

  • Exact vial, peptide vial, or syringe measurements (height, diameter, tolerances)

  • Quantity and sizes of items the case must hold

  • Intended use (travel, transport, storage, lab use, etc.)

  • Any special requirements (orientation, padding, closures, labeling, etc.)

  • Reference photos or drawings (if available)

  • Measurement verification photos

Requests missing required details will not be reviewed.


4. Design Fees (Required)

Custom case design is a paid professional service.
All design fees must be paid in full before any design work begins.

Standard Design Fee

$250 USD — Design & Engineering Fee (Design Only)

Includes:

  • Requirements review

  • Custom internal layout design

  • CAD modeling in Fusion 360

  • Fit and tolerance analysis

  • Initial digital design images

  • One (1) digital revision, if requested after initial design images are delivered

Note: This fee covers design and engineering work only.
It does not include case manufacturing, prototyping, or production costs.

Additional Revisions

  • $75 USD per revision, billed per request

  • Revisions apply only to the digital design stage

  • No revisions are permitted after final digital approval

Advanced / Reverse Engineering (If Required)

  • $150 USD per hour, billed in 1-hour increments

All design and engineering fees are non-refundable.


5. Digital Design Approval Process

  • Customers receive digital images/renderings of the design

  • Editable CAD files are not provided

  • One (1) digital revision is included, if specified

  • Approval applies to digital images only, prior to production

  • Once approved, the design is considered final


6. Prototyping & Production

Prototyping and production are optional and quoted separately.

Prototype / production units start at $39.99 USD per unit and up, depending on:

  • Case size

  • Layout complexity

  • Materials

  • Production method

Notes:

  • Pricing increases with size and complexity

  • Additional units require a separate quote

  • Minor cosmetic variations may occur due to manufacturing processes


7. Material Limitations – PLA Filament

Unless otherwise specified in writing, custom cases are produced using PLA (Polylactic Acid) filament.

By proceeding with a custom case order, you acknowledge and accept the following PLA material limitations:

  • Heat Sensitivity: PLA may deform when exposed to elevated temperatures (approximately 50–60°C / 122–140°F).

  • Impact Resistance: PLA is rigid but not impact-rated and may crack or fracture under significant drops or force.

  • Chemical Resistance: PLA has limited resistance to certain chemicals, solvents, and oils.

  • Environmental Exposure: PLA is not intended for prolonged outdoor use, high humidity, or wet environments.

  • Cosmetic Variations: Layer lines, surface texture, or minor visual imperfections are normal characteristics of 3D-printed PLA parts.

Alternative materials must be discussed before design approval and may involve additional cost.


8. What This Service Is Not

Custom case design does not include:

  • Editable CAD or source files

  • Free concepts, sketches, or mockups

  • “Quick” or speculative designs

  • Unpaid consulting

  • Guaranteed production approval


9. Ownership, Licensing & Resale Rights

All custom designs, layouts, CAD models, renderings, prototypes, and finished products created by Vial Case are the exclusive intellectual property of Vial Case, unless otherwise agreed to in writing.

By submitting a custom case request and proceeding with payment, you acknowledge and agree that:

  • Vial Case retains full ownership, license, and resale rights to all custom designs and products

  • Vial Case may reuse, reproduce, modify, manufacture, market, and sell any custom design or derivative design as part of its own product offerings

  • Customer ideas, concepts, requirements, or use cases do not grant exclusivity or protection from resale

  • Payment does not grant ownership, exclusivity, or restriction rights

Requests for exclusive rights must be agreed to in writing before design work begins and may involve additional fees.
